SMEC’s Online Job Application Policy outlines how SMEC manages the personal information of visitors to our website. It describes what, when and how personal information is collected, and your obligations when submitting an online job application form (“online form”).

What personal information does SMEC collect?

SMEC collects personal information that is voluntarily provided to us. Whenever it is reasonable and practicable to do so, we only collect your personal information directly from you (or your authorised recruitment agency representative).

If you decide to submit an online form on the SMEC website, the information that you enter into the online form will be the only information collected by SMEC. If you do not complete and submit your online form, the information that you have entered up to that point will not be retained by SMEC.

You may elect to submit your online form with your authorised recruitment agency representative. If an online form is submitted with your authorised recruitment agency representative, they must attach SMEC’s Candidate Consent Form (signed and dated by you) prior to submitting the online form.

When does SMEC collect personal information?

SMEC only collects personal information in the sections of the website where:

• We consider applications and approaches by you (or your authorised recruitment agency representative) for employment opportunities. This may include your name, contact details, academic record and other personal information contained in the documentation supporting your employment application
• We respond to your online job application or requests

It is your responsibility to obtain consent from referees referred to in your online job application before providing their personal information to SMEC.

How will SMEC use collected personal information?

The personal information collected will be used for the following purposes:

• To assess your qualifications, knowledge, skills and experience against our career opportunities
• To verify your information and conduct reference checks
• To conduct background checks if you are offered a position at SMEC
• To communicate with you (or your authorised recruitment agency representative) regarding employment opportunities
• To create and submit reports as required by law or regulation
• To improve our recruitment process

SMEC only uses and discloses personal information about you for the purpose for which it was disclosed to us, or for a related purpose, which would be reasonably expected without your permission. We may, for example, notify you (from time to time) of employment opportunities that are closely aligned to your qualifications, knowledge, skills and experience as you have disclosed to us in an employment application. If you accept employment with SMEC, the information collected will become part of your employment record and will be used for employment purposes.

SMEC is a global organisation; we sometimes share personal information between companies within the SMEC Group of Companies. Each company within the SMEC Group of Companies complies with the legal requirements of local national laws for the protection and privacy of personal information or personal data. When you (or your authorised recruitment agency representative) volunteer personal information on our website, you consent to us sharing your personal information within the SMEC Group of Companies for the purpose for which it was disclosed to us or for a related purpose which would be reasonably expected without your permission.

SMEC restricts access to personal information collected on our website to only those SMEC employees who need access to that information to perform and discharge their duties.

SMEC may share personal information with third parties. The types of third parties that we may disclose personal information to service providers who assist us in providing and maintaining our website and who provide recruitment services to us. SMEC does not disclose, sell or market your personal information to third parties.

How can you access your personal information?

The SMEC website does not allow you to directly access and update your profile or application. Subject to certain restrictions, you are able to have access to all of your personal information held by us.

Acceptance and changes to SMEC’s Online Job Application Policy

You acknowledge and accept that submitting an online job application form indicates your acceptance of SMEC’s Online Job Application Policy. This is the current Online Job Application Policy. It replaces any other Online Job Application Policy for job applications published on the SMEC website to date. SMEC may, at any time, make amendments to the Online Job Application Policy by publishing the new Online Job Application Policy on the SMEC website. You accept that by doing this, SMEC has provided you with sufficient notice of the amendments. It is your responsibility to check the Online Job Application Policy each time you submit an online job application form.
